Itmad Certification Services LLC ("itmad", "we", "us") respects your privacy. This policy explains what personal data we collect through this website, why we collect it, and what rights you have over it.

What this website collects

This website is a static site. It does not run analytics software, does not set advertising or tracking cookies, and does not build profiles of visitors.

Information you give us

If you complete our enquiry form, we collect the details you enter: name, company, email address, telephone number, department of interest, city and country, how you found us, and your message. We use this solely to respond to your enquiry and, where relevant, to prepare a quotation or proposal.

If you contact us by email or telephone, we hold that correspondence and any details it contains.

Information collected automatically

Server and security logs. Our hosting provider and our content delivery network (Cloudflare) record standard technical information such as IP address, browser type, and pages requested. This is used to keep the site available and to defend against abuse.
Fonts. Typefaces on this site are served by Google Fonts. Your browser requests them directly from Google, which means Google receives your IP address. Google's handling of that data is governed by its own privacy policy.
Theme preference. If you switch between light and dark mode, that choice is saved in your browser's local storage. It stays on your device, is not a cookie, and is never sent to us.

Client and certification data

Where we deliver certification, testing, inspection, auditing, or training services, we process the information necessary to perform that work — including client contact details, audit records, and certificate data. Certification records are retained for the periods required by our accreditation bodies and by applicable law, and certificate status may be published where a standard or accreditation rule requires public verification.

Impartiality and confidentiality obligations apply to all such information. Our staff and contracted assessors are bound by confidentiality agreements.

We do not sell personal data. We share it only where necessary:

with our service providers (hosting, email, and IT systems) acting on our instructions;
with accreditation bodies and regulators, where they have a right of access as part of oversight of our certification activities;
where required by law.

How long we keep it

Enquiries that do not lead to an engagement are kept only as long as needed to deal with them and for a reasonable follow-up period. Records relating to certification, testing, inspection, and training are kept for the retention periods set by the relevant standard, accreditation requirement, or law.

Security

We apply technical and organisational measures appropriate to the risk, including encrypted connections (HTTPS) across this website and access controls on our internal systems. No method of transmission over the internet is completely secure, and we cannot guarantee absolute security.

Your rights

Subject to applicable law, you may ask us to confirm what personal data we hold about you, to correct inaccurate data, to delete data we no longer need, or to restrict how we use it. Some data cannot be deleted on request where we are obliged to retain it for accreditation, legal, or audit purposes.
